    HE Space is a successful international space company. For over 30 years, we have been supporting our customers with qualified experts in the field of engineering, science and administration. We are currently looking for a Secretary/Administrative Assistant to support our customer in the Netherlands.

    Secretary/Administrative Assistant

     

    Key Tasks and Responsibilities

    In this role you will be working in the Power Systems Division at ESA/ESTEC. You will have the following responsibilities:

    • Day-to-day support in business travel arrangements, mission and leave management, coordination of training;
    • Dealing with incoming telephone calls and information requests;
    • Managing incoming and outgoing correspondence and documentation;
    • Providing various logistics support;
    • Arrivals (office, phone, computer, security, access to databases, information systems) and departures (deregistration, etc.) of personnel;
    • Ordering of office supplies and maintenance of stationery;
    • Room and resources bookings for meetings and/or events;
    • Administration and handling of shipment of goods and express mail;
    • Documentalist support, tasks related to documentation management, distribution/registration of mail and documents, handling, following up documentation exchange;
    • Organisation of meetings;
    • Participation in the organisation of events (e.g. workshops and conferences);
    • Support to visitors, including access control, preparing visa applications, distribution of information material.

    Skills & Experience

    You will have the following qualifications and relevant experience:

    • Degree in a relevant discipline;
    • Relevant experience;
    • Familiarity with modern electronic office automation and techniques, electronic mailing, customised database, and internet software applications;
    • Experience in documentation management;
    • Excellent communication and organisational skills;
    • Ability to deal with high workload, stress resilience;
    • Fluency in English is mandatory; knowledge of another European language is an advantage.
