We are looking for a responsible person to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to managers and employees, assisting in daily office needs and managing our company’s general administrative activities.
The resource will support the Site Manager in the management of the German Permanent Establishment, and be the interface of the Project Control and Accounting and Finance Manager.
Office management: Answer and direct phone calls, organise and schedule appointments, plan meetings and take detailed minutes, write and distribute email, correspondence memos, letters, faxes and forms, order office supplies and research new deals and suppliers;
Employees support: Be the point of contact between the Employees and the Local Administration Entities in order to facilitate the on-boarding of the foreign new-hired, book travel arrangements, submit and reconcile expense reports;
HR Support Activities: collect timesheets, check them and forward them to the External Consultant for the salary Calculation, manage the Employment Contract and all the related data;
Financial: Manage the incoming/outgoing invoices. Provide accounting and clerical support to the accounting department and to the External Consultant.
Contract Management: Support the Contract Manager in managing the contracts with the customers.
As a minimum a High School diploma; additional qualification in Accounting, Office Management, etc. will be considered as a strong preferable requirement
Proven experience (at least 3-5 Years) as an administrative assistant or office admin assistant;
Fluency in English and German (knowledge of Italian is an asset);
Proficiency in MS Office (MS Word, Excel and MS PowerPoint, in particular);
Experience with ERP Tools (i.e. SAP).

The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. The ideal candidate for this job is resourceful, a good problem solver and organized. Assuring a steady completion of workload in a timely manner is key to success in this position.
